Bureau Service 

The Direct Debit Bureau Service is designed to be flexible in meeting the needs of clients who have the ability to obtain or already have Direct Debit status (i.e. have an Originator’s Identification Number – OIN).  When a client has their own OIN, they have the advantage that customer collections are debited direct to their own company bank account, thereby improving cash flow.  We offer an entry-level Bureau Service as well as a fully managed Bureau Service, both of which allow for regular, planned and adhoc BACS transmissions.

Entry Level Bureau Service includes:

RSM2000 Ltd's entry level BACS Bureau Service allows for clients to join the Direct Debit Scheme using their own unique OIN, but the client manage all day to day administration processes in house, maintaining a customer database to meet BACS regulations and simply submit data files to RSM2000 Ltd for secure transmission to BACS. The advantage of this service is that the client does not have to invest in expensive capital software necessary to submit files, in the required secure format, to BACS. 

·          Client is responsible for obtaining own OIN and completing set-up process

·          Client would obtain approval of Direct Debit mandate and telephone script/web pages

·          Client would add, amend and cancel all customer data, in house, and in accordance with BACS regulations

·          Client sends confirmation letters to all customers as per BACS regulations

·          RSM 2000 would transmit client’s data files to BACS securely

·          RSM 2000 would report back to client any failures or rejections by BACS including failures of modulus checks (customer incorrect bank details)

Fully Managed Bureau Service includes:

RSM2000 Ltd’s fully managed Direct Debit Bureau Service allows the client to join the Direct Debit Scheme using their own OIN but has the advantage of RSM2000 Ltd’s highly trained and experienced personnel managing the entire administration process, in accordance with BACS regulations.  The service includes:

·          Collecting, verifying and inputting client’s customer details in accordance with BACS regulations

·          Modulus check details to minimise inaccurate data and rejected collections

·          Sending confirmation letters to client’s customers as per BACS paperless regulations

·          Updating, amending and canceling customer data in accordance with BACS regulations to maintain client database

·          Processing client’s collection files to debit their customer’s accounts

·          Liaison with client providing a full account reconciliation of client collections

Other Services include:

·          Assistance with the set-up of client’s OIN

·          Obtain approval of client’s customised Direct Debit Mandate

·          Obtain approval of client’s telephone script/web pages
